  • 2. Generating file for mass mailing <ul><li>Once the file from Client 15 is received it will need to be uploaded in order to generate the Cover Letters and the Amendment. </li></ul><ul><li>This will be a function on the Admin view as shown on the following pages. </li></ul>
  • 3. Access Admin View <ul><li>Screens to be used for uploading. </li></ul>
  • 4. File Uploaded <ul><li>There can be two (2) scenarios from the uploaded file. </li></ul><ul><ul><li>1. The upload has successfully uploaded records. </li></ul></ul><ul><ul><li>2. The upload created exceptions. </li></ul></ul><ul><ul><li>Both scenarios will generate messages as shown on the following screens. </li></ul></ul><ul><ul><li>Records that error during the upload procedure will need to be downloaded to a file which you will see as part of the message on the screen at the completion of the process. </li></ul></ul>

  • 6. Mass Mailing <ul><li>The file upload upon completion will generate a file on the network T: drive for each broker within the folder created for each broker. For the broker CQI, DO NOT PRINT the cover letter or amendments. </li></ul><ul><li>Customer Care will print the file which will be the cover letters and amendments. </li></ul><ul><li>Customer Care will download the exceptions file and email the file to [email_address] . The exception file will then be reviewed and error correction procedure will be determined. </li></ul><ul><li>Customer Care will visually verify that all fields on both documents contain data and then along with other documents and a pre-paid postage envelope build the packet and mail. </li></ul><ul><li>Any documents upon review that do not contain all of the data should be pulled to be examined as to what is missing and why. The following screens will show the documents along with the data elements expected to be inserted. These fields are highlighted in red. </li></ul><ul><li>If the issue is with the original file then it will be addressed with Reliant otherwise it will be addressed with PPL Solutions IT. The Care Center will log into the portal as an Admin and search for the record. There are multiple search criteria’s that can be used as shown on the screen below. </li></ul>

Fulfillment Letters <ul><li>Once Client 15 has approved the amendment a file containing the fulfillment letters will be generated on the network (T:) drive. </li></ul><ul><li>The Care Center will print the letters and mail them to the approved customers daily. </li></ul><ul><li>At the time of mailing the Care Center rep will login to the portal as an Admin. </li></ul><ul><li>Using the Amendment ID number or any of the search fields on the screen the rep will search for the customer record as shown on the following page. </li></ul>

  • 16. Retrieve Documents <ul><li>Using the same process as for the entering of the date of the fulfillment letters the rep will be able to view all documents associated to that customer and reprint them in the event it is needed. </li></ul>
